| The Card Index and Case Files are available on microfilm only and contain records
relating to the activities of the Exchange and Gift Division, a unit of the
Library of Congress responsible for acquiring materials by exchange, gift,
deposit, or transfer. Records from predecessor Library units, such as the Order
Division, also are included. The original records were reformatted on microfilm in
1985 by the Library's Photoduplication Service. Some physical materials in this
series were destroyed before the microfilm was transferred to the Manuscript
Division in 1988. The originals selected for preservation were added to the
division's active files before being transferred to the Manuscript Division in
1996. The physical records are described in the Correspondence Files series. The index consists of card files
documenting the names of donors and depositors, with some cards providing
additional information, such as dates of gifts and descriptions of items donated.
The names in the card index refer to correspondents found within the case files as
well as the correspondence files. The case files comprise correspondence and
memoranda regarding major gifts received. The Exchange and Gift Division used an
“Important Gift Correspondence” stamp to indicate the significance of the case
files. Gift lists, genealogies, and sorting room slips are interfiled with the
correspondence. Material types include card files, correspondence, memoranda, and lists on microfilm. |
